This policy explains how YVB Bookkeeping Services Limited, trading as YVB Accountancy ("we", "us"), collects and uses personal data through this website and in the course of providing our services. Enquiries

When you contact us by form, email or telephone we collect the details you provide: typically your name, business name, contact details and the substance of your enquiry. We use these to respond to you and, where the conversation continues, to prepare a proposal. The lawful basis is our legitimate interest in responding to enquiries about our services.

Clients

When you engage us, we process the personal and financial data needed to deliver bookkeeping, accountancy, payroll and related services, under our engagement letter with you. The lawful bases are performance of a contract and compliance with legal obligations, including those arising under tax, accounting and anti-money laundering law.

Who we share data with

We do not sell personal data. We share it only where the work requires it: with HMRC and other authorities where filings must be made; with software providers used to deliver services (such as accounting and payroll platforms); with your other professional advisers where you ask us to liaise with them; and with our own professional advisers where necessary. Providers we use are bound by their own obligations of security and confidentiality.

How long we keep data

Enquiry data that does not lead to an engagement is kept no longer than is useful for responding and following up, then deleted. Client records are retained for as long as the engagement lasts and afterwards for the periods required by law, generally six years, longer where a legal or regulatory reason applies.

Your rights

You have the right to request access to your personal data, to have it corrected or erased, to restrict or object to its processing, and to data portability, in each case subject to the exemptions in data protection law. We take appropriate technical and organisational measures to protect personal data, including access controls, encrypted services and secure handling of client records.
