Xero, QuickBooks or Sage: which is right for your business?
All three will keep a compliant set of books and file your VAT. The differences are in how they feel to use, what they bolt on well, and who else in your business life already works in them.

What they all do
Xero, QuickBooks Online and Sage Accounting are cloud platforms: bank feeds pull transactions in automatically, receipts are captured by phone, invoices go out with payment links, and VAT returns are filed under Making Tax Digital from inside the software. All three are recognised for MTD for Income Tax too. For a straightforward business any of them is a sound choice, which is why the decision usually turns on fit rather than features.
Xero
Xero's strength is the bank reconciliation screen, which is quick and clear, and an app marketplace that covers almost every niche: job costing, stock, e-commerce, time tracking. It handles CIS well with its construction add-on, includes unlimited users on every plan, and is the platform most advisers in the UK work in daily. It suits growing businesses that want their records to connect to other tools and that work closely with their bookkeeper or adviser.
QuickBooks Online
QuickBooks is strong for sole traders and smaller companies: receipt capture and mileage tracking are built in, the dashboard is friendly, and its reporting is good for the price. It has invested heavily in MTD for Income Tax, so landlords and self-employed people coming into the quarterly regime are well served. It suits owners who want to do some of the day-to-day themselves and like a guided interface.
Sage
Sage has the longest UK heritage and remains a safe pair of hands, with particularly strong payroll. It suits businesses that already run Sage Payroll, those moving from Sage desktop products, and owners who value an established, conservative product over the newest features.
How to choose
- Which platform does your bookkeeper or adviser work in every day? Shared fluency saves more than any feature.
- Do you run payroll, CIS or stock? Check the specific module, not the headline.
- Will you connect a till, an online shop or a job-management tool? Check the integration exists and is maintained.
- Who in your business needs access, and what should they be allowed to see?
Switching platforms later is possible, and we do it routinely, but it is easier to choose well once. We work in all three, so the recommendation we give is based on your business rather than our habit.
This note is general guidance. We set up and run all three platforms and migrate businesses between them; see our cloud accounting service or ask us which fits.
